Template tax setups compared

No tax Subtotal, total, payment terms You are not registered for tax or the service is not taxable. Do not hide tax inside the rate if you are required to show it.
India GST GSTIN, HSN/SAC, CGST/SGST or IGST You are issuing a GST invoice for Indian business. Use IGST for interstate supply and CGST/SGST within a state.
VAT VAT number, VAT rate, VAT summary You bill in a VAT system such as the UK, EU, or UAE. Reverse-charge and cross-border rules can change what appears.

How to choose without overthinking

A good template choice is mostly about reducing approval friction. These rules cover most freelancer and small-business invoices.

Start with tax setup

Choose no tax, GST, VAT, or sales tax before picking the visual style. Tax fields affect what the client can legally or operationally record.

Then choose visual style

Minimal and classic styles are best for straightforward approval. Modern and elegant styles are useful when brand impression matters.

Use specialist pages sparingly

Open a specialist template only when the document type is truly different, such as receipt, proforma invoice, GST invoice, or service invoice.

Why invoice templates differ by region

An invoice isn't one-size-fits-all once tax is involved. The tax system, the identifier you must show, and even the document title change from country to country:

  • India (GST): shows GSTIN and HSN/SAC codes, and splits tax into CGST + SGST for sales within a state or IGST across states.
  • UK, EU and UAE (VAT): a single VAT rate per line, a VAT number, and a VAT summary - no CGST/SGST split.
  • United States (sales tax): typically a single sales-tax line, often zero for many freelancers and services.
  • Australia and Canada: GST/HST shown as a single tax, usually labelled on a "Tax Invoice".
  • Generic (no tax): a clean invoice with no tax fields at all - ideal when you don't charge tax.

Picking the matching template sets the right fields and calculations for you. The visual style (minimal, modern, classic, corporate, elegant) is separate, so you can make any template look the way you want.
