Monthly Retainer Invoicing: Capacity, Hours and Carryover Without Double Billing
The word retainer can describe several different arrangements. Define what the payment buys before you decide how to show usage, overages or a remaining balance.
Three arrangements that need different records
| Arrangement | What to specify | Record to keep |
|---|---|---|
| Recurring deliverables | Named work or service level for the period | Delivery and approval evidence |
| Prepaid hours | Hours purchased, rate, usage and any carryover | Hour allocation and payment records |
| Reserved capacity | Availability, response expectations and included work | Capacity commitment and any separately billable work |
These categories can overlap, but the agreement should explain how. A fee for availability is not automatically a refundable bank of unused hours. A prepaid hour package should not be described as unlimited work. Check local rules for the service and customer type, especially where a professional retainer has a regulated meaning.
Worked example: a prepaid-hour package
A fictional maintenance package provides 10 hours for 800.00 per month. The agreement allows at most 2 unused hours to carry into the next month and requires approval for extra time at 80.00 per hour. Those are example terms, not universally appropriate or enforceable defaults.
In September, 8.5 hours are used. The usage record shows 1.5 hours eligible for October under the agreement. October begins with 10 new hours plus 1.5 carried hours, for 11.5 available. If approved October work totals 12.25 hours, the overage is 0.75 hour, or 60.00.
| Item | Hours |
|---|---|
| New monthly allocation | 10.00 |
| Eligible carryover | 1.50 |
| Available | 11.50 |
| Approved usage | 12.25 |
| Approved overage | 0.75 |
If the 800.00 October package was already invoiced, the later overage charge is 60.00—not another invoice for all 12.25 hours. Attach the usage statement so the client can see how prepaid time was consumed.
A usage statement is not another invoice
A useful statement identifies the service period, opening allocation, carryover source, dated work entries, approved adjustments, hours used and closing position. Label it as a usage statement when it is not a new demand for payment.
Keep money and hours in separate columns or records. An hour balance does not establish whether the customer paid the monthly invoice. A settled invoice does not establish how many hours remain. Reconcile both before renewal or cancellation.
Get approval before exceeding the included scope
Tell the client when the remaining allocation may be insufficient and identify the proposed additional work. Record the amount or cap approved and the person authorized to approve it. A month-end surprise is harder to resolve than a timely choice between deferring work and buying additional capacity.
Also define what counts as billable time: meetings, troubleshooting, reporting and emergency availability can be treated differently. Do not use a generic hourly description to override the agreement.
Separate four dates
Keep the invoice issue date, payment due date, service period and any usage-expiry date distinct. A document issued on October 1 might cover October services while payment is due on another agreed date. Writing only “October retainer” leaves too much for accounts payable to infer.
Tax timing is a separate question. HMRC’s continuous-supply guidance describes UK VAT tax-point rules for invoices and payments. It should not be generalized to all countries, and this article does not determine when your revenue is earned.
Close the arrangement without losing the trail
On termination, reconcile issued invoices, actual payments, approved usage and any valid refund or credit. Apply the agreed terms and applicable law rather than assuming unused time is automatically forfeited or refundable.
A refund is cash returned; a credit reduces a charge. Use the correction guide and balance calculator for the monetary side. Keep the separate usage statement to explain how you reached the adjustment.
Use SunnyBill as the document layer
Create each monthly invoice deliberately in the generator, give it a unique reference and show the service period. SunnyBill does not automatically renew agreements, charge a card, reserve invoice numbers across users or track hour banks.
Use the time-card tool for underlying time and the billing checklist for the monthly handoff. The useful result is not merely a recurring PDF: it is a document the client can reconcile to both the agreement and the work.
