Invoice Numbering: A Practical System for Freelancers

By The SunnyBill Team Published

An invoice number connects the document you send, the payment you receive and the record you keep. A useful system stays unambiguous when a client emails six months later.

Pick a format you can explain in one sentence

For a solo business, a format such as INV-2026-001 is easy to read: document type, issue year and sequence. The next issued invoice is INV-2026-002, regardless of which client receives it. Use enough leading zeroes for your expected volume so filenames sort predictably.

This is a workflow example, not a universal legal format. GOV.UK's invoice guidance requires a unique identification number for UK invoices. UK VAT guidance additionally describes sequential numbers based on one or more series. Other jurisdictions and regulated electronic invoicing systems can impose different rules.

A format like CLIENT-001 can work operationally, but each client becomes a separate sequence to manage. If you only send a few invoices, a single series is usually easier to audit. Avoid putting private information such as a personal tax identifier into the invoice number; the number may appear in email subjects and payment references.

Use a register, not your memory

Keep a row for each issued invoice. The register can be a spreadsheet or your accounting system; its job is to prevent accidental reuse and help reconcile money. The following fictitious example separates the document identifier from its current status.

Example register for one invoice series
InvoiceClient / workIssuedStatus / cross-reference
INV-2026-001Example Client A / website audit5 October 2026Paid; receipt RCP-2026-001
INV-2026-002Example Client B / design milestone8 October 2026Sent; payment outstanding
INV-2026-003Example Client A / extra work12 October 2026Cancelled; reason and replacement reference retained
INV-2026-004Example Client C / editing15 October 2026Sent; buyer reference PO-781

Also record the currency, invoice total, due date and location of the exported file. Keep payment dates and amounts separately if instalments are possible. A status called “paid” is less informative than a payment record that can be matched to your bank statement.

A reliable five-step issuing routine

  1. Draft the work first. Check the client, service period, quantities, rates and agreed terms before treating the document as final.
  2. Read the register. Choose the next unused number in the correct series. If another person can issue invoices, agree who allocates numbers.
  3. Enter it in SunnyBill. Use the invoice-number field in the invoice generator. Do not assume a suggested number has been checked against documents on another device.
  4. Inspect the PDF. Verify that its number, amount and due date match your register, then save a copy with a descriptive filename.
  5. Record issuance. Note when and where you sent it. Use the same number in the email subject and payment reference.

SunnyBill stores working data locally in your browser. Clearing browser storage or using a different device does not provide a shared ledger of previously issued numbers. Your exported documents and external register are the durable record you control.

Handle exceptions without losing the trail

New year: if your rules permit a new yearly series, change the prefix as well as the counter. INV-2027-001 is distinct from INV-2026-001; a bare 001 is ambiguous when both years appear together.

Cancelled document: retain its record and reason. Do not quietly reuse its identifier for a different transaction. Whether cancellation needs a credit note or another formal correction depends on the invoice's status and local tax rules.

Correction after sending: keep the original, tell the client what changed, and follow your jurisdiction's correction process. HMRC's VAT guide covers UK VAT credit notes and adjustments; simply overwriting a PDF is not a substitute for those requirements.

Quotation becomes an invoice: give the invoice its own identifier and retain the quotation reference in the notes. A quote number, an invoice number and a receipt number describe different documents. See the document comparison for a complete example.

Before the first invoice in a new series

Write down the prefix, when the counter changes, who assigns numbers and where records are backed up. Search the register for the proposed number before sending. Then use the pre-send checklist to check the actual document, not just its filename.

This is general recordkeeping education, not accounting or legal advice. Official UK references: electronic invoicing, VAT Notice 700/63 and the guidance linked above. Confirm requirements for your own jurisdiction.
